Cleanout coordination
One collection, several units: keep inventories separate

How can a manager combine collections without mixing instructions from different units?
Keep a separate approved inventory for each unit, then coordinate the shared loading arrangement without combining disposal authority.
Give each unit its own release list
Start with a unit reference, an authorised contact and a dated contents list. A building-wide instruction to remove leftovers is not enough when some rooms are retained or decisions differ between occupants. Keep the list free of unnecessary personal information and settle ownership questions outside the collection process.
Match labels to photographs
Use an item reference that includes the unit, such as Unit B, chair 2. Match it to a photograph and a remove, retain or hold decision. Avoid colour alone as the only identifier because labels can be missed or misunderstood. The person releasing the unit should check the list against the actual contents before collection.
Coordinate access without combining authority
A manager may book the loading area for all units while separate contacts approve the contents of each. Record both roles. Note which units are ready, which remain locked and which contain unresolved items. A common elevator booking does not turn a pending unit into an authorised collection.
Close the record by unit
Ask for completion notes against each released list rather than a single statement that the building was cleared. If an item cannot be included, keep its unit reference in the exception note. For instance, two identical desks in different suites can have opposite instructions; their appearance must not decide which leaves. Further strip-out work remains a separate scope.
