House clear-out handover: a room-by-room sign-off

By Anchor Demolition Scarborough · Updated
A clear-out handover records which rooms have been checked, what remains and who is responsible for it. It gives the next contractor a reliable starting inventory without treating an empty room as permission to demolish it.
This guide is for the final walk-through after contents removal. Use the separate pre-demolition clear-out checklist when deciding what to remove in the first place.
Use one record for each included area
List the main rooms and any attic, basement, storage room, shed or exterior area included in the cleanout. Beside each area, record the agreed contents, the observed condition and an exception if anything remains. A whole-house description can otherwise hide a locked room or a separate outbuilding.
- Area and access key
- Listed contents removed
- Retained item and its location
- Unresolved item and responsible contact
- Photograph reference and review date
Distinguish retained from forgotten
A cabinet or appliance may remain intentionally, while a box left behind may be an unresolved decision. Name both rather than using a single unchecked box marked incomplete. Label retained items in the room and in the written record so a later crew receives the same direction.
Personal papers, keys and valuables should be returned to the responsible person, not photographed in detail for a general work record. Do not direct removal of belongings whose ownership or disposal authority remains unresolved.
Record the actual cleanup endpoint
Check the included rooms and carry route against the agreed broom-swept condition. Note material that is excluded from collection. A cleanout handover does not certify the building, confirm a material assessment or replace the approvals and service arrangements for later demolition.
Pass the record to the next contact
Give the demolition or renovation contact the retained-item list and unresolved issues along with the cleared-area photographs. Ask them to acknowledge the boundaries before the next scope is finalised. If a room has changed since the walk-through, update that room rather than relying on the earlier whole-property sign-off.
Questions about this topic
- Does signing off a cleanout approve demolition?
- No. It records the contents-removal stage. Demolition limits, approvals, material information and trade responsibilities remain separate.
- What if one room cannot be accessed?
- Record it as not inspected and assign the access issue to a named contact. Do not describe the whole property as cleared.
